Manage actuals
Once a payment is ready to be made, you can enter the paid amount in the Actuals column, either manually or via an import. After recording the actuals, update the status of the corresponding Forecast cell to Occurred.
Manually creating vs. importing actuals
Whether you create actuals manually or import them depends on your company's chosen process. This decision relies on factors such as whether the data is already available in a third-party system and the effort required for manual entry. Contact your system administrator if you are unsure which method to use.
Important to know:
Editing an actual: You can edit an actual the exact same way, regardless of whether it was manually created or imported.
Deleting an actual: The deletion process depends on its origin. You can delete an imported actual under the Budget menu. A manually created actual can be deleted under Investments > details panel > Actuals panel. For more details, see Delete actuals.
Key actual data
The specific data you need to manage for actuals is determined by your company's configuration. However, you should generally be familiar with the following core attributes:
Amount: This is a mandatory field. Enter the total actual amount that applies to the line item.
Date: Enter the invoice date. This date is used to assign the actual to a specific month.
Typically, additional custom attributes are created for actuals. If you have any questions about how to use these specific fields, contact your system administrator.
